Job Description:
Astute Recruitment are seeking a highly organised and hands-on Accounts Office Manager to join a small, friendly team based in Derby. This is a varied role ideal for someone who thrives in a dynamic environment and enjoys balancing numbers with day-to-day operational management.
You'll play a vital part in the smooth running of the business - overseeing the financials across several group entities, supporting site operations, and keeping the office running efficiently.
Key Responsibilities:
Accounts & Finance:
- Full bookkeeping duties across multiple entities (using Xero)
- Prepare monthly management accounts, including accruals, prepayments, and journals
- Process purchase and sales invoices, raise POs, and carry out regular payment runs
- Chase outstanding debtors and maintain accurate sales ledgers
- Reconcile multiple bank accounts in different currencies
- Submit VAT returns (UK, Irish and Canadian where applicable)
- Support client billing, time reporting, and work-in-progress valuations
- Produce financial reports and backing schedules as required
Office & Facilities Management:
- Maintain a clean, well-stocked and professional office environment
- Manage office supplies (stationery, refreshments), and oversee the external cleaning contract
- Welcome and assist visitors, including arranging meeting refreshments
- Maintain and update documentation, policies, and procedures
Site Operations Support:
- Support site health and safety culture and compliance processes
- Schedule and coordinate site maintenance activities
- Order consumables and support site-wide purchasing
- Liaise with tenants regarding facilities and operational matters
What We’re Looking For:
- Minimum 2 years’ experience in a finance/accounting role (AAT Level 4 or QBE)
- Strong attention to detail and excellent organisational skills
- Able to manage competing priorities with a structured and adaptable approach
- A clear and honest communicator who enjoys variety and problem-solving
- Confident using Microsoft Excel; experience with Xero is highly desirable
