Executive Support Administrator
Location: Coventry
Salary: £34,000 – £37,000 per annum
Hours: Monday to Friday, 8:00 AM – 5:00 PM

We’re offering an exceptional opportunity to join a high-performing, people-first organisation in our beautiful, modern Coventry offices.
As Executive Support Administrator, you’ll work closely with the Executive Assistant (EA) to the Chief Operating Officer (COO) as part of a dynamic administration department. Our team is led by the EA/Administrative Operations Manager and includes three other talented administrators.
This role is more than “just admin”: you’ll become a trusted partner across the business, coordinating key meetings and events, supporting new starter inductions, and contributing to strategic projects and initiatives.
Key Responsibilities
- Provide high-level administrative support to the EA, preparing presentations, spreadsheets, documents, and meeting packs.
- Collate, prepare, scan, organise, and store information accurately.
- Organise and schedule meetings; follow up on actions with Senior Leadership Team (SLT) members to ensure timely completion.
- Arrange travel and appointments for Directors as required.
- Support onboarding and induction activities to deliver a welcoming, professional experience for new starters.
- Draft, circulate, and accurately record meeting minutes.
- Act as a key point of contact for internal teams and external stakeholders, ensuring smooth communication.
- Support internal events, training sessions, and company-wide activities.
- Track budgets, raise invoices and purchase orders (POs), liaise with suppliers, and assist with basic financial tasks.
- Support cross-departmental projects as needed.
- Maintain confidentiality and discretion at all times in handling sensitive information.
Ideal Candidate Profile
Experience
- Proven experience as an Office Administrator/Coordinator, Team Assistant, or Executive Assistant.
- Comfortable supporting senior leaders in a fast-paced environment.
Skills
- Strong organisational and planning abilities, with the capacity to manage multiple priorities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills with a professional, approachable manner.
- Confident preparing reports, presentations, and professional documentation.
- Financial administration experience (e.g., invoicing, budgeting) is advantageous.
- Event coordination experience is desirable.
- Familiarity with modern office/collaborative tools is a plus:
- SAP for administrative/financial processes
- Canva for designing presentations/materials
- Miro or Microsoft Planner for collaborative planning
