Job description

With over 150 apprentices across the Group and continued growth, we're looking for an organised and proactive Apprenticeship Coordinator to help deliver an outstanding apprenticeship experience from recruitment through to qualification and progression.

This role is the central point for organising and keeping track of apprentices across MARCH. The aim is simple: every apprentice is kept safe, trained, supported and helped to progress – in the same way, wherever they work.

Key Responsibilities

Keeping Track of Apprentices

  • Keep a central list of all apprentices, and their records, accurate and up to date.
  • Know who is managing and supporting each apprentice.
  • Work with managers to make sure apprentices are managed the same way across MARCH.
  • Pull together apprentice information on training, skills, reviews, progress and any extra support they need.
  • Give the Infrastructure Labour Manager the information they need to oversee the programme.
  • Be the main contact for apprentice queries across all divisions.

First Year Apprentice Buddy System

  • Run the First Year Apprentice Buddy System across the Group.
  • Keep the list of approved Buddies and record which Buddy is paired with which apprentice.
  • Keep records of Buddy training, pairings and who is taking part.
  • Check that Buddy meetings happen and are written up.
  • Help Buddies, supervisors, managers and others keep each other informed.
  • Track what has and hasn't been done and tell the right manager about anything missing or late.
  • Help keep the Year 1 Apprentice Development Workbook and related records up to date.

Reviews, Skills and Progress

  • Plan apprentice reviews and show which ones are coming up or overdue.
  • Check that formal reviews and skills assessments get done.
  • Record agreed development actions and chase anything outstanding with the person responsible.
  • Help record feedback from each placement and evidence of the apprentice's skills.
  • Check that mandatory training, inductions and required evidence are completed.
  • Help gather feedback from colleges and training providers.
  • Keep track of each apprentice's progress so managers have the evidence they need to decide whether they can move up.
  • Help organise and record final progression reviews.

Working with colleges and training providers

  • Build good working relationships with colleges and training providers.
  • Be the link between managers and colleges / training providers on apprentice progress, attendance, development and programme requirements.
  • Help collect and keep records on college attendance, qualification progress, training provider feedback and on-the-job learning.
  • Pass any concerns or actions raised by training providers to the right manager to deal with.
  • Keep apprentices, managers, supervisors, Buddies and training providers in the loop.

Safety, wellbeing and raising concerns

  • Help keep apprentices safe and well by keeping records and actions clear and up to date.
  • Keep track of open actions on safety, welfare, attendance, behaviour and development.
  • Help record and follow up actions from apprentice incidents and reviews.
  • Promote the rule that what an apprentice is trusted to do, and how closely they are supervised, must match their experience and proven ability.
  • Spot problems early that could affect an apprentice's safety, wellbeing, development or chance of finishing – and raise them.

Tracking and reporting

  • Keep programme information accurate so managers can see how apprentices are doing and whether requirements are being met.
  • Produce regular reports showing reviews planned and done, open actions, Buddy pairings, apprentice progress and missing records.
  • Flag overdue reviews, missing records and open actions.
  • Help measure how well the programme is working – reviews completed, apprentice incidents, and how many apprentices stay, finish and progress.
  • Spot recurring problems and suggest ways to make things work better and more consistently.
  • Provide information for management reviews, SHEQ checks and audits, and other apprentice oversight

Skills and Experience

  • Well organised – able to juggle lots of apprentices, review dates, actions and people at once.
  • A good eye for detail and keeps accurate records.
  • Good with people – builds strong working relationships with apprentices, managers, supervisors, Buddies and training providers.
  • Writes and speaks clearly to people at all levels.
  • Confident chasing up missed actions and politely challenging people when deadlines or processes are not followed.
  • Can prioritise and work alone, while knowing when to involve a manager.
  • Uses good judgement with confidential apprentice information.
  • Knows when a concern about safety, attendance, behaviour, wellbeing or development needs to go to a manager, rather than just being logged.
  • Practical, consistent and focused on solving problems.
  • Good IT skills – keeps electronic records accurate and produces clear reports.
  • Full, clean driving licence.

What we offer

  • A competitive salary and comprehensive benefits package that recognises your skills, experience, and contribution
  • A people-first culture that prioritises employee wellbeing, work-life balance, and ongoing support
  • Excellent opportunities for career progression, training, and development within a successful and rapidly growing business
