Estates Administrator - Prestigious Residential Estate

Location: Central London
Contract: Temporary
Hours: Full-time, Monday to Friday, daytime hours
Start: ASAP / short notice preferred
Pay: £TBC depending on experience

We are recruiting an experienced Estates Administrator / Facilities Administrator to support the Estates team within a prestigious and historic residential environment in Central London.

This is an excellent opportunity to join a well-established organisation operating from an impressive heritage estate in the heart of London. The site combines beautiful historic buildings with a busy modern residential community, creating a varied and interesting working environment.

You will provide day-to-day administrative support to the Estates department, helping to coordinate maintenance requests, contractor visits, resident communications, records and outstanding tasks.

Key responsibilities
  • Acting as a first point of contact for residents regarding Estates and maintenance matters.
  • Monitoring open maintenance tasks and chasing outstanding actions.
  • Keeping residents updated on the progress of maintenance requests and planned works.
  • Coordinating room and building access for contractors.
  • Liaising with contractors, residents and internal teams.
  • Maintaining Estates trackers, spreadsheets, databases, room lists and shared records.
  • Updating completed jobs with clear and accurate notes.
  • Supporting the Estates office with general administration, messages, supplies and day-to-day coordination.

These duties reflect the client's brief, which focuses on resident communication, task monitoring, contractor access, accurate records and general Estates administration. 

The ideal candidate

We are looking for a confident and organised administrator with strong IT skills and excellent attention to detail.

You should have:

  • Previous administrative experience.
  • Strong Microsoft Excel skills.
  • Experience using spreadsheets, databases and record-management systems.
  • Good working knowledge of Outlook and Word.
  • Excellent written and spoken English.
  • Strong organisation and the ability to prioritise a busy workload.
  • The confidence to follow up outstanding tasks independently.
  • A professional and courteous approach when dealing with residents, colleagues and contractors.
  • A calm and practical manner when dealing with urgent or sensitive matters.

The job description specifically highlights organisation, communication, Microsoft Office skills and the ability to follow work through. 

Previous experience within Facilities Management, Estates, property, residential accommodation, student accommodation, universities, hotels or hospitality would be highly advantageous.

You do not need to be technically qualified. This role is primarily about strong administration, communication, organisation and making sure tasks do not get missed.
